Vacancy: Secretary Trustee to join our Board

As our current Secretary trustee is stepping down later this year, after 4 years, we are now looking for our next trustee to fill this role. This is a part-time, voluntary position.

About Equilore

Equilore is a charitable organisation founded in 2017 with the vision to support people with their mental health who have got stuck in the traditional system of support. Equilore became a registered charity in 2020 (registration 1190998) offering Equine Facilitated Psychotherapy (EFP) and we have grown in our service provision ever since.

About the Board of Trustees

Our Board of Trustees are predominantly people from the area local to Equilore and we meet bi-monthly, with a mixture of online and in-person meetings.

We work with the CEO to support the governance and strategy of the charity and we’re currently at an exciting point in our development, working with external providers to refine the charity’s strategy.

Role Overview

The Secretary plays a key governance role at Equilore, ensuring the charity complies with statutory obligations and operates efficiently. The role involves supporting the Board of Trustees, maintaining accurate records, managing correspondence and overseeing the charity’s administrative functions. The Secretary ensures effective communication within the organisation and acts as a vital link between the trustees, management team regulatory bodies and the public.

This role is ideal for someone who is detail-oriented, well-organised and keen to develop skills in charity governance.

Key Responsibilities

Board & Governance Support

  • Organise and coordinate meetings of the Board of Trustees.
  • Record meeting minutes and follow up on action points.
  • Maintain a schedule of meetings and compliance milestones.
  • Deputise for the Chair of the Board of Trustees when required.

Communications & Administration

  • Maintain secure records of governance documents.
  • Act as the main contact for trustee queries.
  • Support trustee recruitment and induction.
  • Maintain registers of trustees, members and conflict of interest records.

Person Specification

Essential

  • Strong organisational and administrative skills.
  • Excellent written and verbal communication.
  • Familiarity with governance or willingness to learn.
  • Discretion in handling confidential information.
  • Proficiency with office software.
  • Commitment to Equilore’s mission and values.

Desirable

  • Prior experience in a similar charity role.
  • A background in marketing, PR or digital.
  • Experience working with Google Sites and Google Drive.
  • Understanding of Charity Commission requirements.
  • Knowledge of GDPR.
  • Confidence in chairing meetings if needed.

Time Commitment

  • Estimated 4–6 hours per month, more around Board meetings.
